AIDS Vaccine 2009 - Media Registration

The AIDS Vaccine 2009 Conference welcomes working journalists from around the world who are interested in covering the event. Registration fees will be waived for working journalists; however, travel, hotel and any other expenses will be the responsibility of the journalist or media outlet.

Press conferences will be held at 16:00 on Monday, 19 October, 13:00 on Tuesday, 20 October, and 13:00 on Wednesday, 21 October in St. Germain des Pres on Level 2 of the Marriott Rive Gauche. AIDS Vaccine 2009 Embargo and Press Release Policies

Embargoes
Embargoes on reporting on studies presented at AIDS Vaccine 2009 lift at the conclusion of the session in which the study is presented. For example, if a study is presented from 11:15 to 11:30 am, as part of a session that ends at 12 noon, the embargo on reporting on that study lifts at 12 noon.

Conference embargoes will be strictly enforced. Violations of the conference embargo policy will result in revocation of the news organization's credentials to cover the meeting.

Press Releases
Press releases, fact sheets or any other materials designed to facilitate media coverage of research studies presented at AIDS Vaccine 2009 may only be distributed after the conclusion of the session in which the study is presented. For example, if a study is presented from 11:15 to 11:30 am as part of a session that ends at 12 noon, press releases or other media materials may be distributed at 12 noon. If multiple studies are addressed in one release, that release may distributed at the time of the latest embargo lift.

Institutions public or private that believe they are compelled to communicate about a study prior to its presentation at AIDS Vaccine 2009, whether for reasons of disclosure of material data, notification of study participants, or any other reason must notify the conference secretariat and receive written approval prior to any public communication. If permission is granted, institutions may issue a press release with general findings (omitting full data to be presented at the meeting) prior to the conference.

Violations of the AIDS Vaccine 2009 press release policy may result in the removal of the abstract(s) involved from the conference program.

Press Registration

Press registration will be located in La Seine Foyer, Level 0 at the Marriott Rive Gauche. You must check in and receive a name badge to access the scientific sessions, press conferences or the media work room. Any member of the press who does not have a Conference name badge will not be admitted into Conference events.

If you are not pre-registered for the Conference and would like to register for a day pass, please bring the required credentials, listed in the registration requirements section below, to the press registration desk in La Seine Foyer, Level 0.

Registration Requirements

To register as a media representative, you must submit the following documentation:

  1. Application letter including:
    • First and Last Name
    • Institution/Organization
    • Address
    • Country
    • Email Address
    • Phone Number
  2. Your accreditation (a copy of your official press credentials or a letter of assignment to the conference on official stationery of the media organization for which you work or are deputed to cover the conference) and/or,

    if you are a freelance journalist wishing to cover the conference, please submit copies of two recently published articles/broadcast stories related to HIV/AIDS (preferably HIV/AIDS research if possible).

All submitted credentials will be checked and verified and, if necessary, additional credentials may be requested. Registration will be granted at the discretion of the AIDS Vaccine 2009 Organizing Committee.

Journalists are encouraged to register early, and to submit all required documentation as soon as possible, given the potential need to close media registration due to space constraints.

Media Center

A media center for registered journalists will be available throughout the Conference in St. Michel on Level 2 of the Marriot.
